From Quote to Completion: The Complete Workflow Guide

Most problems in trade businesses happen in the gaps between stages — where a job transitions from quote to scheduled, or from complete to invoiced. This guide covers every stage, and what good looks like at each one.

Stage 1: Initial Enquiry

Capture all information at first contact:

  • Customer name and contact details
  • Job requirements and location
  • Preferred contact method
  • Urgency level and any time constraints
  • How they heard about you

Respond within 2 hours during business hours. Speed of response is one of the strongest predictors of whether you win the job.


Stage 2: Site Visit & Quote

Visit the site before committing to a price on anything complex:

  • Assess requirements properly — don’t guess
  • Take photos (for your records and for disputes)
  • Agree scope clearly with the customer while you’re there
  • Create a detailed, itemised quote within 24–48 hours

A quote delivered within 24 hours of a site visit wins significantly more work than one delivered after a week.


Stage 3: Quote Follow-Up

Don’t send and wait. Follow up:

  • Day 2–3: “Just checking this arrived — any questions?”
  • Day 7: “Happy to pencil in a slot if you want to proceed”
  • Before expiry: “This expires on [date] — shall I extend it?”

Most jobs that go cold do so because the tradesperson stopped following up.


Stage 4: Job Acceptance

When the quote is accepted:

  • Convert the quote to a job in your system
  • Collect the deposit (30% on booking is standard)
  • Schedule the work — confirm the date in writing
  • Order materials with enough lead time
  • Send the customer a confirmation with date, time, and what they need to prepare

Don’t schedule without a deposit. Don’t order materials without a confirmed job.


Stage 5: Job Execution

During the job:

  • Update job status at each stage (started, in progress, first fix complete, etc.)
  • Add notes and photos as you go — not just at the end
  • Track time and materials against the quote
  • Communicate proactively if anything changes scope or timeline

Surprises are almost always less damaging when flagged early.


Stage 6: Completion

Finish strong:

  • Do a final walk-through with the customer
  • Clean up properly — this is remembered
  • Collect the final payment before leaving (or invoice immediately for net-30)
  • Request a review while you’re there: “Would you mind leaving us a Google review? I can send you the link.”
  • Sign off the job in your system

Stage 7: Follow-Up

The job isn’t over when the work is done:

  • Send a brief check-in 24–48 hours after completion
  • Address any issues immediately — small callbacks handled fast are opportunities, not problems
  • Note any scheduled maintenance or repeat work in your system
  • Set a reminder for future work (annual services, maintenance checks)
