No trade-specific features. Generic project management tools (Trello, Notion, Asana) aren’t built for quoting, job scheduling, and invoicing. The workarounds take more time than the original problem.

No trial period. Any reputable software provider offers a free trial. If they don’t, ask why.

  2. Is there a mobile app, and is it genuinely usable on site?
  3. How long does typical onboarding take?
  4. Can I cancel month-to-month?
  5. Is support responsive — email, phone, or chat?
  6. Does it integrate with my accounting software (Xero, QuickBooks, Sage)?
  7. Is the pricing per user, and does it scale fairly?

Common Mistakes When Switching Software

  • Switching everything at once. Import clients and active jobs first; leave historical data until later.
  • Not training the team. The best software fails if the team uses it inconsistently.
  • Going back to the old way when it gets hard. The awkward first two weeks are the price of the next five years of smoother operations.
  • Choosing on price alone. The cheapest tool is rarely the best value.

Making the Decision

The right software depends on your business size and priorities:

  • Solo trader: Prioritise simplicity — quoting, invoicing, basic scheduling
  • Small team (2–5): Team calendar, job assignment, mobile access become critical
  • Growing business (5+): Reporting, permissions, equipment scheduling, accounting integration

Most tradespeople outgrow their first software choice as the business grows. Start with something that fits now and can scale; avoid tools that are either too simple or too complex.
